Reception Desk: Yealink T54W Quick Reference

Welcome to the front desk. This guide covers the essential tasks for managing our office phone lines.


1. Handling Incoming Calls

  • Answering: Pick up the handset, press the Speaker button, or press the blinking Line Key.
  • Managing Multiple Calls: If a second call rings while you are on the line, press the Answer soft key. The first call will be placed on Hold automatically.

 

2. Parking a Call (The "Universal" Hold)

"Parking" a call allows you to put a caller in a temporary "parking spot" so a staff member can pick it up from any other phone in the building.

  1. While on a live call, press the Park soft key (you may need to press More to see it).
  2. The system will play an automated message telling you which "spot" the call is in (e.g., "Call parked on 9981"). Remember this number.
  3. To Notify the Staff Member: Dial the staff member's Extension.
  4. Once they answer, announce: "You have a call parked on 9981."
  5. Hang up. They can now dial 9981 from their own desk to take the call.

 

3. Transferring Calls

A. Blind Transfer (Direct)

Use this to send a call straight to someone's desk.

  1. Press the Transfer button (or soft key).
  2. Dial the Extension (or press the person's Speed Dial button).
  3. Press Transfer again immediately.

B. Consultative Transfer (Warm)

Use this to check if the staff member is available first.

  1. Press Transfer and dial the Extension.
  2. Wait for the staff member to answer and ask if they can take the call.
  3. If they say YES: Press Transfer.
  4. If they say NO: Press End Call, then press Resume to go back to the original caller.

 

4. Transferring to Voicemail

If the caller wants to skip the ringing and go straight to a mailbox:

  1. Press the Transfer button.
  2. Dial ## followed by the Extension.
  3. Press Transfer again.

 

5. Placing a Call on Hold

  • To Hold: Press the Hold soft key.
  • To Resume: Press the Resume soft key or the flashing Line Key.
  • Note: Only the reception phone can pick up a call on "Hold." Use "Park" (Step 2) if someone else needs to pick it up.


Helpful Reception Tips

  • Paging Groups: Use the side buttons (Line Keys) like Page EUG only for office-wide announcements (e.g., "The building will be closing in 15 minutes").
  • Volume: Use the large - / + bar at the bottom of the phone to adjust the ringer volume (while the phone is idle) or the caller's voice (while on a call).
