Using Intermedia AnyMeeting in Outlook

The Intermedia AnyMeeting add-in allows you to launch instant video calls or schedule future meetings without leaving your inbox.

1. Using it from your Email

When you are viewing an email and want to quickly hop on a call with the people in that thread:

  • Open the Email: Select the message you are currently working on.

  • Click the AnyMeeting Icon: Look for the colorful Intermedia icon in your top toolbar.

  • Select an Action:

    • Start Meeting Now: This creates an instant meeting link. You can copy the link or click to join immediately and invite others.

    • Schedule Meeting: This will automatically open a new Meeting Invite window with the email’s recipients already added. The AnyMeeting link and dial-in details will be populated in the body of the invite.

2. Using it from your Calendar

To set up a future meeting with AnyMeeting details:

  • Create a New Event: Open your Outlook Calendar and click New Meeting or New Appointment.

  • Click the AnyMeeting Icon: In the ribbon at the top of the new meeting window, click the Intermedia AnyMeeting icon.

  • Add Meeting Details: Click Add Meeting (or similar prompt). The add-in will automatically insert your unique meeting URL, conference bridge number, and PIN into the location field and the body of the invite.

  • Send: Add your attendees and click Send. The meeting is now synced to your calendar and theirs.


? Pro-Tips for Users

  • First-Time Login: The first time you click the icon, you may be prompted to log in. Use your agency credentials (the same ones used for your Intermedia/AnyMeeting account).

  • Meeting Settings: If you need to change your meeting password or waiting room settings, you can usually find a Settings gear within the add-in panel that opens on the right side of Outlook.

  • Audio Options: Attendees can join using their computer audio (VoIP) or by dialing the phone number provided in the invite.
