Accessing a shared email account in Outlook 365 on the web (also known as Outlook Web App or OWA) is straightforward,
but it's important to know that your IT administrator needs to grant you access to the shared mailbox first.
Here are the two primary ways to access a shared email account in Outlook 365 on the web:
Method 1: Open in a New Window (Temporary Access)
This method is good if you only need to check the shared mailbox occasionally or want to view it in a separate browser tab without cluttering your main Outlook view.
- Sign in to your personal Outlook 365 account on the web. Go to outlook.office.com or your organization's specific Outlook 365 login page.
- In the upper-right corner of the page, click on your profile picture (or initials).
- From the dropdown menu, select "Open another mailbox..."
- In the "Open another mailbox" window, type the full email address of the shared mailbox you want to access (e.g., info@yourcompany.com).
- Click "Open".
A new browser tab or window will open with the shared mailbox, allowing you to view its inbox, sent items, and other folders.
Method 2: Add to Your Folder List (Persistent Access)
This method is recommended if you'll be frequently using the shared mailbox, as it integrates it directly into your main Outlook view on the left-hand navigation pane.
Once added, it will remain there each time you log in to Outlook on the web.
- Sign in to your personal Outlook 365 account on the web. Go to outlook.office.com.
- In the left-hand navigation pane, right-click on your primary mailbox name (or the "Folders" heading).
- From the context menu, select "Add shared folder or mailbox..."
- In the "Add shared folder or mailbox" dialog box, type the full email address or name of the shared mailbox you want to add.
- Click "Add".
The shared mailbox will now appear in your folder list under your primary mailbox. You can expand it to see its folders (Inbox, Sent Items, etc.), just like your own personal mailbox.
Important Notes:
- Permissions are key: You must have the necessary permissions granted by your IT administrator to access and send from a shared mailbox. If you encounter issues, contact your IT support.
- Browser compatibility: Ensure you are using a supported web browser for Outlook 365.
